AI Voice Receptionist
An AI voice agent that answers inbound calls, qualifies leads and books appointments — so no caller hits a voicemail box.
The problem
A service business was missing calls whenever the team was with customers, after hours, or simply busy. Every missed call was a potential booking going to a competitor, and the voicemail box was where enquiries went to die.
They needed every call answered politely, the caller's need understood, and a booking or callback recorded — without hiring a full-time receptionist.
Our approach
We scoped one job first: answer every inbound call, qualify what the caller needs, and book or log it. The greeting, qualifying questions and booking rules were written and approved with the business before any build.
The agent only says what it knows — services, hours and prices come from an approved knowledge base, and anything outside that scope is handed to a human.
What we built
- Inbound call answering — every call picked up, at the hours the business sets.
- Lead qualification — the agent asks the agreed questions and captures name, need and contact details.
- Appointment booking — qualified callers are booked into the business's calendar during the call.
- Call summaries — every call logged with a transcript and a structured summary for the team.
- Human handoff — callers who ask for a person, or need something off-script, are flagged for a callback.
